Privacy Policy

Which information we collect, how it is used, and how to have it deleted.

This privacy policy states which information we collect from you while you use the Open e-CMR service ('service'). The service can be accessed through the web portal hosted at https://www.openecmr.com and through the Open e-CMR app available on Google Play store.

Information collected

We collect the following information:

  • Account data, such as name and email address
    • This information is used to contact you, for example to reset your password, and to ensure you control the email address that you provided.
  • Log data
    • In order to troubleshoot, monitor performance and analyze usage of the service we collect information that your browser or smartphone sends to us. This data includes IP addresses, browser type, and similar technical information. For analytics we use this data in an aggregated fashion that is not traceable to an individual.
  • Event data on the consignment note
    • We collect information on where and when events related to the processing of a consignment note occurred. This information is shared with the owner of the consignment note and any other individuals with access to the consignment note.
  • Location data
    • When you record an event in the driver app, such as arriving at a site or confirming loading or unloading, the app records the device location at that moment. This includes latitude and longitude, accuracy, altitude, heading and speed. Location is recorded only at the moment you record such an event. The app does not track your location in the background. This location is stored on the consignment note and is visible to the owner of the consignment note and to anyone else with access to it.
  • Signatures
    • When a consignor or consignee signs for a shipment, we store the signature image together with the name, and where provided the email address, of the person signing. This forms part of the consignment note.
  • Photos and documents
    • Photos and documents that you attach to a consignment note, such as photographs of the load or scanned delivery documents, are stored as part of that consignment note.
  • Information entered during usage of the service
    • Such as addresses in the address book or other personal information entered on the consignment notes. This is data needed to perform the service of consignment notes. The information will always be kept private by default and you have full control over who can access the data. We do not process this data on an individual level but may use it on an aggregated level in order to provide statistical information.

Information sharing with third parties

Information about consignment notes, including signatures, photos, documents and recorded locations, is not sold or shared with third parties for their own purposes. It is shared only with the parties to the consignment note, as described above.

We use third party providers to host the service, to understand how the app is used, and to receive crash and error reports. They process data on our behalf and only as needed to provide their part of the service. Consignment note data is stored in the European Union.

The usage and crash reporting described above covers app activity and technical device information. It does not include the contents of your consignment notes.

By using the Google single sign on feature you share with Google that you use Open e-CMR. No other information is shared.

Retention

Consignment notes and the data attached to them are retained for as long as your account is active, so that the parties to a transport keep access to their records. If you delete your account, the data is deleted as described below.

Deleting your account and your data

You can request deletion of your account and the personal data associated with it by emailing info@openecmr.com from the email address registered to your account.

When you request deletion we remove your account, your profile data, your address book, and the signature, photo and location data recorded by you, unless we are required to retain it by law.

Please note that a consignment note is a shared record between a shipper, a carrier and a consignee. Where a consignment note has been shared with other parties, those parties keep their copy of the consignment note, since it is their commercial record as well as yours. We will tell you if this applies to any of your data when you make the request.

We respond to deletion requests within 30 days.

Security

Data is transmitted over encrypted connections and stored in data centres in the European Union. Access to consignment notes is restricted to the parties to that consignment note.
